Topic: Progressive Mailbot retirement and transition towards ERS file submission portal
1. Progressive Mailbot retirement and transition towards ERS file submission portal
As mentioned in Program Bulletin #87, NRCan is moving forward with the progressive retirement of the Mailbot and the phased implementation of the new ERS file submission portal. Phase 1 of this process is targeted to be completed on June 7th, 2022. We will provide additional details and ongoing communication as we approach this transition date which is still subject to change.
From June 7th onward, all existing housing ERS files (D/E files) modelled in v11.11 (Greener Homes files or any provincial/territorial/utility/municipal programs files) will need to be submitted to the ERS file submission portal, with the exception of files for houses located in Quebec and Nova Scotia. Quebec and Nova Scotia will continue to submit their files to the Mailbot as these provinces will transition in a future phase until further notice.
Note that P and N files will continue to be submitted to the Mailbot until further notice.
The main page of the ERS file submission portal is being updated to reflect the retirement of the Mailbot, including an improved user interface and the capability to link both D and E files to Greener Homes applications directly from the main page.
Below is an updated table to reflect which types of files are to be submitted to the ERS file submission portal or the Mailbot as of June 7th, 2022:
File type | D Evaluation Date | HOT2000 Version | Submission Method |
D/E files (excluding QC and NS) | On or after April 1, 2020 | v.11.11 | ERS File submission portal |
D/E files (QC and NS only) | On or after April 1, 2020 | v.11.11 | Mailbot |
E files (Nationwide) | Prior to April 1, 2020 | v.11.10 or lower | Mailbot |
P/N files (Nationwide) | N/A | All versions | Mailbot |
As a reminder, all Greener Homes files must have the Greener Homes checkbox selected and the AP number entered into the Homeowner Authorization ID field in the HOT2000 file.
Subsequent phases of development of the ERS file submission portal will allow for the submission of all file types and we will keep you informed of progress and timelines.
